Personal Information Protection Policy

Fourth Valley Concierge Corporation (hereinafter referred to as "the Company") is engaged in the business of operating "Connect," an online platform for matching talented human resources in Japan and in overseas countries with companies and educational institutions in Japan and is also involved in the business of introducing foreign nationals to Japanese companies, etc. and conducting events such as screening meetings.
To properly handle all personal information used for our business, the Company established this Personal Information Protection Policy as a code of conduct to be followed by all employees of the Company and will ensure that all employees comply with it.

1.    To comply with laws and regulations, national guidelines, and other norms regarding the handling of personal information, the Company formulated a personal information protection management system that conforms to the Japanese Industrial Standards "Personal Information Protection Management System - Requirements" (JIS Q 15001) and will operate it appropriately.
2.    The Company will acquire, use, and provide personal information in an appropriate manner that considers the content and scale of its business. This includes not handling personal information beyond the scope necessary to achieve the specified purpose of use and taking measures to ensure such limitation so that the handling of personal information does not cause or abet illegal or inappropriate activities.
3.    When entrusting the handling of personal information in whole or in part to a third party, the Company will exercise necessary and appropriate supervision over that party to ensure the safe management of the entrusted personal information.
4.    The Company will not provide personal information to third parties unless it has the consent of the individual concerned or if such provision is required by law.
5.    The Company will take measures to prevent and correct the leakage, loss, or damage of personal information.
6.    The Company will strive to respond to complaints and consultations regarding the handling of personal information in an appropriate and prompt manner. The Company will accept requests for the disclosure, etc. (notification of purpose of use, disclosure, correction, addition or deletion, suspension of use or provision, and disclosure of provision to third parties) of personal information subject to disclosure and held by us. Please contact the "Personal Information Complaints and Consultation Desk" below for the procedures regarding disclosures. 
7.    The Company will continuously improve its Personal Information Protection Management System.

Handling of Personal Information by the Company

(Matters to be made public in accordance with the Personal Information Protection Act and JIS, and matters to be made readily available to the individual concerned)

The purpose of using personal information obtained by the Company
Personal information provided by the user or obtained by the Company in the course of providing services will be used for the following purposes.
i.    To provide services and information concerning the Company.
ii.    To operate and manage services of the Company and any relevant services pertaining to them (such as responding to inquiries).
iii.    To analyze and evaluate information required to improve services of the Company.
iv.    To create and use statistical data in a format that does not identify individuals.
v.    To engage in other businesses relating to job placement.

The purpose of using personal information when it is received
Personal information provided by clients in the course of business will be used for the following purposes.
i.    To properly engage in recruitment operations entrusted by client companies.


Joint use of personal information
Personal information provided to event and recruiting companies related to the Company’s services will be managed by each company for the purpose of communications during the selection process of internship and recruitment activities after submissions are made. Please contact each company directly regarding the handling of personal information managed by that company. Employers and other recipients of personal information are prohibited from using personal information obtained through the use of the Company’s services (including events) for any purpose other than those relating to internship and recruitment activities.

(3) The purpose of using personal information in possession
i.    Personal information registered on employment support websites
To provide services relevant to connect job and to engage in various other services provided by the Company in an appropriate manner.
ii.    Personal information of individuals making inquiries
To respond to the inquiry made and to manage it appropriately.
iii.    Personal information of employees

<Purpose of use> To perform administrative and management tasks pertaining to human resources, labor, social insurance, taxation, and tax payment

(4) Provision to third parties
Registered personal information will not be provided to third parties without the consent of the individual providing that personal information (the subject of the information). Due to the nature of the service, the Company may provide personal information to recruiting companies and overseas group companies. However, in the following cases, the registered information may be disclosed without the consent of the member such that it does not violate relevant laws.
i.    When disclosure is required by law
ii.    When it is necessary for the protection of the life, body, or property of an individual and it is difficult to obtain the consent of that individual.
iii.    When it is particularly required to improve public health or promote the sound growth of minors and it is difficult to obtain the consent of that individual.
iv.    When it is required to cooperate with a national agency, local government, or any person or organization entrusted by either of the foregoing in executing affairs prescribed by laws and regulations, and when obtaining the consent of the relevant individual may impede the execution of the concerned affairs.

(5) Supervision of contractors
The Company may outsource the handling of personal information in whole or in part. The Company will supervise the entrusted party appropriately to ensure the safe management of personal information entrusted to that party.

(6) Contact for requesting disclosures
Please contact the "Personal Information Complaints and Consultation Desk" in (9) below for the disclosure of all uses of personal information subject to disclosure, procedures for requesting a disclosure, and other matters concerning personal information subject to disclosure. We will respond promptly.

(7) Voluntary matters
The provision of personal information to the Company is voluntary. Some of the Company’s services may not be available if required fields are not filled out.


(8) Obtaining personal information via methods that do not easily identify the individual concerned
i.    The Company may create numerical and statistical data, etc. using profile information in a method such that the individual seeking employment is not identified and use that data without any restriction (including, but not limited to, proposals to companies recruiting and market research).
ii.    The Company may use technology such as Cookies and JavaScript to obtain behavioral history (URLs visited, contents, and reference order).
iii.    The Company may use the information obtained in the preceding paragraph that does not identify the individual concerned without any restriction. However, if that information becomes personal information at the third party, permission shall be obtained beforehand by the individual concerned.

(10) Measures taken to ensure the security of personal information
i.    Establishment of a basic policy
  Compliance with relevant laws, regulations, guidelines, etc., and establishment of a point of contact for questions and complaint handling
ii.    Establishment of rules and policies for handling personal information
   Establishment of privacy policy and rules for handling personal data in the Company
iii.    Organizational safety measures
   Defining personal information managers in operations that handle personal data and establishing a reporting system that includes employees    who handle personal data.
iv.    Personnel safety measures
  Continuous training regarding the handling of personal information to all Company employees who handle personal information.
v.    Physical safety measures
  Control access to areas where personal information is stored or handled
vi.    Technical safety measures
   Restricting access to environments in which personal information is handled
vii.    Grasp of external environments
   Auditing the data retention policies of cloud services that store personal information databases, and checking data privacy laws and regulations    in the country in which such cloud services are operated.

Disclaimer
The Company will not assume any responsibility for acquiring personal information by a third party in the following cases.
i.    When a member reveals personal information to a specific company through the functions of the Service or other means.
ii.    When the registered contents other than the person-specific information unexpectedly identify the person.

Revisions to the privacy policy
The Company reserves the right to revise the privacy policy at any time to address changes in laws and other regulations.
